EALING TRAILFINDERS CAMPS – TERMS & CONDITIONS

For Rugby, Multisport, and Other Sport-Specific Camps

Staffing

All our camps are run by fully qualified coaches, many of whom are RFU accredited or specialists in their sport. We take safety seriously and always work to the highest standards to make sure your child is in safe hands.

Liability

By booking a place on one of our camps, you agree that Ealing Trailfinders is not responsible for:

  • Any injuries your child may get during the camp

  • Any loss of or damage to personal items

  • Any other kind of loss or damage, however it may happen

We do not limit or exclude our responsibility for anything that is the result of our own negligence, including serious injury or death.

Behaviour

We want all children to enjoy their time at camp. We expect good behaviour and respect for others at all times. If a child is found to be bullying or behaving badly, we may have to send them home, and unfortunately, no refund will be given. We kindly ask that parents and guardians help us by encouraging their children to follow these rules.

Cancellations

  • If you cancel more than 3 weeks before the camp starts, you can choose:

  • A 50% refund, or

  • To move the booking to another similar camp (please note, if the new camp costs less, the difference won’t be refunded)

  • If you cancel within 3 weeks of the camp start date, we’re unable to offer a refund.

If your child can’t attend for medical reasons (and you can provide proof), we can offer you a credit to use on another camp within 12 months.

If a camp is cancelled due to something out of our control (like extreme weather or public health issues), we’ll offer an alternative option or a credit.

What to bring

Here’s a suggested kit list – don’t worry if you don’t have everything, just bring what you can. Some items may depend on the season or the weather.

  • Sports clothes suitable for the weather

  • Rugby boots or other suitable footwear

  • Trainers

  • Waterproof jacket and hat

  • Gum shield (rugby camps, ages 9 and up – strongly recommended)

  • Any protective gear needed for your sport

  • A spare set of clothes, especially if it’s wet

  • Towel

  • Refillable water bottle

  • Sunscreen and insect repellent

  • Any medication your child may need (please hand it to a staff member with instructions)

A dry and comfortable child is a happy one!

Photos and Videos

When you book a camp, you have the option to consent to photos or videos being taken of your child. These may be used for our website, social media, or other promotional materials. 

Medical Consent

By booking, you confirm your child is fit and well enough to take part in the camp activities.

If your child needs emergency medical or dental care and we can’t reach you, you give permission for a member of staff to agree to treatment on your behalf.

Payment

  • All camps need to be paid in full at the time of booking unless we’ve said otherwise.

  • You can pay online, over the phone, or in person if spaces are available.

Bullying Policy

We’re proud to promote the values of teamwork, respect, enjoyment, and fairness. We have a zero-tolerance policy on bullying. Any incidents will be taken seriously. If a child is found to be bullying, they may be asked to leave the camp with no refund.
